Booking Policy
How Booking Works
Everything worth knowing about reserving your date, payments, changes, and how we work together — so there are no surprises along the way.
Reserving Your Date
Every booking is confirmed with a signed agreement and a deposit. Packaged services carry a set deposit — $75 for The Petite flower bar and $150 for The Signature, for example — and larger custom events are secured with a 30–50% retainer. Your date isn't held until the deposit is received.
Payments & Final Details
Your remaining balance and final guest count are both due 14 days before your event. We accept Venmo, Zelle, Cash App, and major credit cards, and for larger bookings we may be able to arrange a payment schedule — just ask.
If your balance hasn't arrived by the due date, we'll reach out to you first. If it remains unpaid, the booking may be treated as a cancellation.
Care of Our Pieces
Every event booking includes a refundable $100 damage deposit, collected with your balance. Our team handles all installation and breakdown, but if an arch, wall, drape, or other piece is damaged, lost, or removed during your event, repair or replacement comes out of this deposit first, and any cost beyond it is billed to you. Whatever remains of the deposit is returned within 7 days of your event.
Changes to Your Design
Changes to colors, add-ons, or guest count can usually be accommodated with enough notice. Once your design is approved, changes to its core elements — florals, colors, or structural pieces — are quoted as a change order, which may adjust your total.
Fresh flowers are natural and seasonal. If a particular variety isn't available for your date, we'll substitute one of similar style and color, and of equal or greater value.
Postponing or Cancelling
Postponing. You may move your event once, to an available date within 12 months of the original. With at least 30 days' written notice there's no fee; inside 30 days, a $75 rebooking fee applies. Everything you've paid moves with you to the new date.
Cancelling. Please let us know as soon as possible. Your deposit is non-refundable. If you cancel more than 30 days before your event, that's all you forfeit. Between 30 and 14 days out, you're responsible for 50% of your total, and within 14 days, 100% — by then flowers are ordered and our team is committed. If your plans change, postponing is usually the better option, and we'll always do our best to work with you if something unexpected comes up.
Travel
Venues within 30 miles of Thornton carry no travel fee. Beyond that, the miles past 30 are billed round trip at the IRS standard mileage rate, and always shown on your quote before you commit.
Photography
We may photograph your setup and florals for our portfolio and marketing, including our website, unless you decline in your agreement. Guests who can be identified appear only with a signed photo release.
Safety
For everyone's safety, we may adjust or relocate outdoor installations in high wind or severe weather. Children are very welcome at the flower bar with an adult nearby, since it uses floral snips.
Working Together
We put real care and intention into every event, and we do our best work when a client's plans, communication, and expectations fit the way we work. A good fit usually looks like this:
- Clear, timely decisions, so your design stays on schedule.
- A settled design — once colors, florals, and structural elements are approved, they stay consistent.
- Trust in our process and our experience with florals, installations, and event styling.
- Clear expectations — what's included is always set out in your proposal and invoice.
- A collaborative spirit — working together with kindness, clarity, and shared excitement for the final design.
If We Step Back
To protect the quality of every event, we may decline a project, or step back from one, if:
- core design elements change repeatedly after approval;
- communication becomes unclear or contradictory, making it difficult to plan;
- requests move beyond the agreed proposal and can't be resolved with a change order;
- the project calls for materials, timelines, or techniques outside our specialty; or
- the working relationship stops being productive despite everyone's best efforts.
If that ever happens, we'll tell you directly and respectfully, release you from any unpaid invoices, and refund what you've paid, less any costs already incurred for your event — such as materials purchased or signage produced — so you're free to move forward with a vendor who's the right fit.
Our Promise
We want every client to feel supported, excited, and confident in their event — and this is how we keep the standard of care The Crafted Line is known for. Inquire About Your Date →
